Step one is a complete data inventory. Before any equipment leaves your building, document every asset: make, model, serial number, and the type of data it may have contained. This inventory becomes the foundation of your chain-of-custody documentation.
Step two is data destruction. Simply deleting files or formatting a drive is not sufficient -- data can be recovered using widely available tools. Common methods include secure overwrite and physical destruction. SSDs cannot be erased with magnetic methods; for solid-state media, physical shredding or specialized cryptographic erasure may be used.
When you receive a Certificate of Data Destruction (CoD), verify that it contains essential details for your audit trail: the serial numbers of each individual drive, the specific destruction method used, the date of service, and the name of the technician who completed the work. A generic 'we recycled your stuff' receipt is not a substitute for a formal CoD.
Step three is choosing a qualified recycler. Look for documented downstream controls and regular third-party reviews of recycling processes. Ask for downstream due diligence documentation and a sample Certificate of Destruction to review the records you will receive.
